Log in as admin, go to the Employees tab, and click Register New Employee. You can set their name, username, pay rate, overtime rules, and PTO balance from one screen.

Clock In & Out

Employees log in with their username and password, then use the Clock In button on their dashboard. In Kiosk Mode, they enter a 4–6 digit PIN on a shared screen instead.

Kiosk Mode turns any computer or tablet into a shared time clock. Employees tap their PIN to clock in or out without needing a full login. Enable it under Settings → Kiosk Mode.

Yes. The dashboard has separate buttons for Start Break, End Break, Start Lunch, and End Lunch. Break and lunch time are tracked independently and deducted from total hours automatically.

Admins can manually edit any time record from the Time Records tab — adjusting clock in, clock out, break, and lunch times.

Overtime & Pay

You set the rules per employee — daily threshold (e.g., over 8 hours), weekly threshold (e.g., over 40 hours), overtime multiplier (e.g., 1.5×), and double-time threshold. The app calculates regular, overtime, and double-time hours automatically.

Yes. Each employee has their own overtime rule. You can also set rules by department, and individual rules always take priority over department rules.

Yes. The Hours Summary report breaks down regular pay, overtime pay, double-time pay, and PTO pay per employee based on their pay rate and overtime settings.

Weekly, biweekly, semi-monthly, and monthly. Once you set your pay frequency and an anchor date, Current Pay Period and Previous Pay Period appear as one-click filters throughout the app.

Reports & Exports

The Reports tab includes an Hours Summary (regular/OT/DT/PTO per employee), an Attendance report, and a Department Hours breakdown.

Yes. You can export to PDF or CSV from the Time Records tab or the Reports tab. The CSV can be opened in Excel, QuickBooks, or any payroll tool.

Yes. Click Email Records in the Time Records tab to send a formatted PDF of any employee's records to any email address.

PTO & Time Off

Yes. Each employee has a vacation hours balance that you set when creating their account. Admins can add PTO at any time, and PTO records appear alongside regular work records in all reports.

Yes. Employees submit time off requests from their dashboard. Admins receive a notification, review the request, and approve or deny it — the employee is notified of the outcome.

Network & Multi Location

Yes, with a Pro license. One PC runs in Server Mode and shares the database. Other PCs connect as clients over your local network — no internet required.

It works on any network where the client PCs can reach the server PC by IP address. A VPN or static local IP will work; direct internet exposure is not recommended without a VPN.

Security & License

All passwords and security answers are hashed using bcrypt before being saved. Plain-text passwords are never stored.

Standard covers standalone use on a single machine. Pro adds multi-PC network mode (server + client), the Attendance and Department Hours reports, and priority support.

With a Pro license, yes — one server and unlimited client PCs on the same network. A Standard license is for one standalone machine.

Support

Go to Help → Contact Support in the menu bar. Fill out the form and your message is sent directly to our team, along with your company name, address and license key info so we can help faster.

No. Your employee records, time records, passwords, PTO balances, and settings are stored in a separate database file that the installer never touches. We still recommend backing up before updating — use Settings → Database Backup.

Everything is stored locally in ~/.timeclock/ on your machine. Nothing is sent to external servers unless you submit a support ticket.
